The YOU Inc. A Better System

Writer's picture: Matthew ZainoMatthew Zaino

The goal:

To build a better productivity system that will allow us to accomplish most, if not all, of our daily tasks that are meaningful to us while also relieving a lot of the stress on our brain in remembering all those tasks. Throughout most of our lives, we are taught that our brain is an organ for information storage. But how much do you remember about today before you started reading this article? Not much of the day I would believe. Our brain's primary function is to keep the body alive through survival techniques and creative practices.

Many people nowadays need a functional productivity system to be on top of their busy schedules. But here is the problem, many people don't know that they need a system to start with. But first, let's talk about what a productivity system is, let alone the word.

Based on the Cambridge Dictionary, the word Productivity is described as:

Now, let's rephrase the sentence that relates to the everyday person.

  • The rate at which a group of people or an individual makes goods or services based on the number of tasks and the amount of energy/ materials necessary to complete those tasks.

As said based off the definition being productive is more than just completing those tasks that we assign ourselves. But it is how effectively we complete those tasks with the least energy expenditure.

Here we show how our brain is supposed to function.

Type One Tasks:

These are tasks that our brain does best.

  • Innovation

  • Satisfaction

  • Unwinding (Relaxing)

  • Bonding (Human Interaction)

Type Two Tasks:

These are tasks that our brain will be able to accomplish but with some effort put into it. So look for other productivity systems (such as computers) that will allow those tasks to be completed faster.

  • Keeping Up with Assignments

  • Our Weekly / Monthly Schedules

  • A Reminder to Send an Email Tomorrow.

Type Three Tasks:

These are tasks that we should use a productivity system for ( such as a computer) that will hold information that is not directly important to our everyday lives but is still helpful to have when a situation or event shows up.

  • Your High School Friend's Birthday

  • Your Work Address

  • The Company Phone Number

The whole point of a productivity system is using our time intentionally and effectively throughout the day. Most of us think of our brain as a computer analyzing information, finding a solution, testing our hypothesis, and then storing that information for future use. Still, regarding information storage, we obtain, on average, 26 GBS of data daily. That is a lot of information that our brain can hold. For most of it only to be forgotten the next day. So, we need to find better tools and systems that will allow us to help our brain organize this information to ease the stress of remembering. Because our brain's primary goal is to create and learn, not mainly for storage, in this article, we will look at three different productivity levels to help reduce our brain's stress. To better organize our information and system, I have developed three levels of productivity that will allow you to maximize your day.

The three levels of the productivity system:

Level one: The Padawan (Luke Skywalker)

  • Just able to get by through daily organization. They mostly think in the short-term daily or weekly planner. Thinking that this task must be completed on a particular day at a specific time. They are treating each task as their own.

Level Two: The Jedi Knight (Anakin Skywalker)

  • Capturing insights from all the information we receive daily. Having a deeper understanding of the type of information we receive and how it relates to your current needs. We are treating all tasks and how they relate to each other.

Level Three: The Jedi Master ( Master Yoda)

  • Making connections that allow you to organize your life while capturing those insights. In other words, gather all the information throughout your life and collect it to positively impact your life on a larger scale. It is not just helping you with your current needs but also your future needs, like a snowball effect. Relieve the stress of any significant stimulus you may encounter before you even meet them.

In our journey to enhance productivity, next week promises a deep dive into the three distinct types of systems. Join us as we unravel the secrets and strategies that will pave the way for a productivity force to be reckoned with, one that even Master Yoda might nod approvingly at. Get ready to embark on a path of transformative productivity, unlocking the wisdom that will shape a more efficient and powerful system for success.
